By accessing our website (highhills.co.in), booking a tour or service with us, or making any payment, you (“client”, “you”, “your”) agree to be bound by these Terms and Conditions. Please read them carefully before booking.
1. Use of Website and Services
- Eligibility: You must be at least 18 years old to use our services or make any booking.
- Information Accuracy: All information you provide must be true, complete, and accurate. High Hills Tours and Travels will not be responsible for loss, damages, or issues arising due to incorrect or incomplete information.
2. Booking Terms
- Domestic Package Bookings:
- A non-refundable deposit of 30% of the total package price is required to secure your booking.
- The remaining 70% of the package price must be paid no later than 48 hours before your scheduled arrival.
- Failure to complete payment on time will result in cancellation of your booking and forfeiture of your deposit.
- Flight and Visa Bookings:
- 100% payment is required upfront at the time of booking for all flight tickets and visa services.
- Bookings for these services are only processed after full payment is confirmed.
- International and Special Packages: Some international or specialized packages may have unique payment schedules or requirements. These will be communicated clearly at the time of booking and such terms will supersede the standard policy if applicable.
- Booking Confirmation: A booking is only confirmed upon receipt of required payment and issuance of a written confirmation by High Hills Tours and Travels.
3. Visa and Documentation Responsibility
- Obtaining Documentation: You are solely responsible for securing and providing all required travel documentation (ID, valid passport, visa, permits, etc.), and for complying with all travel regulations of destination and transit countries.
- Visa Facilitation Only: High Hills Tours and Travels acts only as a facilitator for visa applications. We are not responsible if visas are delayed or rejected by any embassy, consulate, or government body.
- Non-Refundability: All payments made for visa services are strictly non-refundable, regardless of the outcome of the visa application.
4. Amendments and Special Requests
- Booking Amendments: All requests for changes to existing bookings (dates, participant names, services, etc.) must be submitted in writing and are subject to availability and approval. Amendments may incur additional charges, including administrative or supplier fees.
- Special Requests: Special requests such as specific accommodations, dietary needs, or other preferences are not guaranteed unless confirmed in writing by High Hills Tours and Travels.
5. Cancellation & Refund Policy
5.1. Domestic Package Bookings
- The 30% booking deposit is strictly non-refundable.
- Cancellations made more than 24 hours before scheduled arrival: You may be eligible for a refund of the remaining 70% (balance) payment, minus any non-recoverable supplier or administrative fees.
- Cancellations made within 24 hours of scheduled arrival or no-shows: No refund will be issued; 100% of the package price is chargeable.
- No refund will be issued for partially used services or for early departure once the package has started.
5.2. Flights & Visa Bookings
- All flight and visa bookings require 100% payment upfront at booking and are strictly non-refundable once payment is made, regardless of reason.
- High Hills Tours and Travels is not responsible for airline operations, schedule changes, or visa approval status.
5.3. Vehicle-Only Bookings
- Cancellations made more than 24 hours prior to the vehicle booking/usage start time: A partial refund may be available, subject to deduction of the relevant deposit (if any) and any supplier charges.
- Cancellations made within 24 hours prior to the vehicle usage or no-shows: No refund will be issued; the full amount is chargeable.
5.4. Third-Party & Supplier Cancellations
- If your booking includes elements provided by third-party suppliers (e.g., hotels, airlines, operators) with stricter or differing cancellation or refund terms, those terms will apply instead of ours for the relevant portion of your booking.
5.5. Company-Initiated Cancellations
- In the unlikely event that High Hills Tours and Travels cancels your confirmed booking for reasons not related to force majeure, you will only be offered the option to reschedule your travel or service to a future available date. No refund will be provided in such cases.
- If rescheduling is not feasible, we will work with you to find an appropriate alternative date or similar service, but in no case will a monetary refund be issued.
5.6. Force Majeure
- High Hills Tours and Travels is not liable for cancellations, changes, or delays due to circumstances beyond our control (including but not limited to natural disasters, strikes, wars, epidemics, government actions, etc.). Refunds, if any, will be governed by supplier policies and the actual recoverable costs.
6. Vehicle-Only Bookings
- Standard Inclusions: Rates are valid for up to 240 kilometers or 10 hours of use per day, whichever comes first, strictly for point-to-point travel as per the agreed itinerary.
- Current Rates (per day):
- Sedan: ₹3,500
- SUV: ₹5,500
- Tempo Traveller: ₹7,500
- Surcharges for Exceeding Limits:
- Additional Kilometers: Sedan: ₹12/km, SUV: ₹15/km, Tempo Traveller: ₹20/km
- Extra Hours: Sedan: ₹300/hour, SUV: ₹400/hour, Tempo Traveller: ₹600/hour
- Route and Usage Deviations: Any changes to the agreed route, extra stops, or deviations from the itinerary may result in additional charges, which must be cleared in full.
- Rates Validity: Rates as listed are valid as of July 22, 2025. Please reconfirm rates at the time of booking as they may change.
7. Responsibilities and Liabilities
- Travel Insurance: We strongly recommend that all clients purchase comprehensive travel insurance covering health, accident, baggage, delays, and cancellations.
- Third-Party Providers: High Hills Tours and Travels acts as an agent for various third-party service providers. We are not liable for their performance, service quality, failure, or negligence.
- Force Majeure: We will not be held responsible for any loss, damage, delay, or additional costs incurred due to circumstances beyond our control.
